Media

How long we retain your data

Payments, Refunds & Cancellation Policy
1. Payee & Booking Authority
All payments for accommodation at Potamos Guest House are made directly to Marios Constantinou.
By submitting payment, the guest confirms that they are legally authorised to make the payment and that all booking details provided are accurate and complete.
2. Payment Requirement & Reservation Confirmation
A reservation is considered confirmed only upon receipt of full payment.
Once payment has been successfully processed:
The booking is locked
The accommodation is removed from public availability
Preparations for the guest’s stay begin immediately
Failure to complete payment results in no contractual obligation on the part of Potamos Guest House.
3. Automatic Allocation of Funds Upon Payment
The guest expressly acknowledges and agrees that immediately upon payment, funds are automatically allocated toward non-recoverable operational costs, including but not limited to:
Professional room cleaning
Linen preparation and laundering
Property readiness and maintenance
Utility provisioning and staffing arrangements
These preparations are scheduled in advance to guarantee the accommodation is fully prepared for the guest’s arrival. As such, refunds are limited strictly by the policy below.
4. Cancellation & Refund Policy
To protect the guest house from financial loss and to preserve fair booking opportunities for other guests, the following strict refund policy applies:
Cancellations made sixty (60) days or more before the scheduled arrival date are eligible for a refund of fifty percent (50%) of the total amount paid.
Cancellations made less than sixty (60) days before the scheduled arrival date are non-refundable, and no refund will be issued.
This policy applies without exception and includes, but is not limited to:
Personal or family circumstances
Travel delays or cancellations
Airline, ferry, or transport disruptions
Visa or documentation issues
Weather conditions
Booking errors made by the guest
5. No Partial, Pro-Rata, or Implied Refunds
No refunds, partial refunds, or credits will be issued for:
Late arrivals
Early departures
No-shows
Unused nights
Failure to occupy the accommodation for the full booking period
Once the stay period begins, the booking is deemed fully consumed.
6. Platform Bookings (Airbnb, Booking.com, and Similar Services)
Where a booking is made through a third-party platform (including but not limited to Airbnb or Booking.com), this policy applies in substance, regardless of platform wording.
In the event of any discrepancy:
The stricter cancellation rule shall prevail
Any refund processed via a platform is limited to what is permitted under this policy
Platform service fees are non-refundable and outside the control of Potamos Guest House
7. Force Majeure
Potamos Guest House shall not be held liable for failure or delay in performing its obligations where such failure results from events beyond reasonable control, including but not limited to:
Natural disasters
Acts of government or authorities
Pandemics or public health emergencies
War, civil unrest, or strikes
Utility or infrastructure failures
In such cases:
No automatic right to a refund exists
Any goodwill refund or date change remains solely at the discretion of Potamos Guest House
Operational costs already incurred remain non-recoverable
8. Consumer Law Compliance (Cyprus & EU)
This policy is structured in accordance with applicable Cyprus and European Union consumer protection legislation, particularly regarding accommodation services with fixed dates, which are exempt from standard 14-day withdrawal rights once performance preparations have begun.
9. Acceptance & Binding Agreement
By completing payment, the guest confirms that they:
Have read and understood this policy
Accept the cancellation and refund terms in full
Acknowledge that payment triggers immediate preparation costs
Agree that this policy forms a binding part of the accommodation contract
